Terms and Conditions – Pyrénées Cycling Lodge


 Deposit & booking confirmation

These terms and conditions apply to all holidays at Pyrénées Cycling Lodge.

Bookings can be made by telephone, by email or through our secure online reservation system. Our preference is the online reservation system.

All booking must be confirmed by the payment of a 20% deposit. The deposit is non-refundable and non-transferable. Deposits can be made by credit card,  or bank transfer. Deposits should be paid within 7 days of the booking being made. If a deposit is not received within the 7 days the booking will be deleted.

If you need to alter the dates of a booking, we will accommodate you, depending on availability, but there is no guarantee.

Payment of balance

Payment can be made by credit card through our secure online system or bank transfer. If you choose to do a bank transfer we will call you with our bank details.

For individuals/groups less than 10

The balance is due to be paid 4 weeks prior to the start of your holiday, unless otherwise agreed. Where a booking is made within 4 weeks of the holiday, the total holiday cost becomes due immediately.

For groups of 10+

The balance is due to be paid 12 weeks in advance of your arrival, unless otherwise agreed. Where a booking is made within 12 weeks of the holiday, the total holiday cost becomes due immediately.

Cancellation of your booking by you

If you wish to cancel your holiday we require written notification via an email.

The deposit is non-refundable. We will endeavour to re-let the room and if we do we will refund the deposit to you minus any credit card fees we incur for the transaction.

Our cancellation charges are as follows:

For individuals/groups less than 10

More than 4 weeks – deposit only

Between 1-4 weeks – 100% of the total cost.

For groups of 10+

More than 12 weeks – deposit only

Between 8-12 weeks – 50% of total cost

Between 4-8 weeks – 75% of total cost

Between 1day & 4 weeks – 100% of total cost

Cancellation by us

Every effort will be made to operate all holidays as advertised but the Company reserves the right, at its discretion, to modify or cancel any holiday at any time. In the case of any material modification or of cancellation, the Company will, if possible, offer alternative arrangements or, if these are not acceptable, a full refund of the monies paid. This does not include refunds for flights or other expenses separate from the holiday package.

Minimum Participants per package

Pyrénées Cycling Lodge reserves the right to cancel a holiday at any time. In this event, a full refund will be issued. If a holiday must be cancelled due to low bookings (less than 5), we will make every effort to do so at least 8 weeks prior to your departure date. A holiday will not be cancelled due to low bookings within 30 days of your departure (in the instance of other client’s cancellations).

Holiday price and surcharges

We guarantee that the price of your holiday will not be subject to alteration or surcharges once a booking has been confirmed. All prices are fixed in Euros €.

Holiday Insurance

We strongly advise all customers to protect themselves by taking out a fully comprehensive travel insurance. Under the terms of this booking you are required to have suitable travel insurance giving cover that must include the costs of medical treatment and repatriation in the event of a serious accident or illness. Pyrénées Cycling Lodge accepts no liability for any loss or injury that may occur during your trip. We strongly advise that helmets should be worn at all times when cycling.

Passports and Visas

As a visitor to France you are required to hold a current passport. Should you be travelling from outside the EU, you should check whether you may also require a visa.


Should you have a complaint while on holiday, you should notify us at the time, to enable it to be put right immediately. If the matter is not resolved, the complaint should be made in writing within 28 days.

Pyrénées Cycling Lodge are based in France. Any disputes will be settled under French Laws.
