BOOKING TERMS & CONDITIONS:
Deposit & booking confirmation
These terms and conditions apply to all holidays at Pyrénées Cycling Lodge and other 3rd party accommodation.
Bookings can be made by telephone or in writing by email or on our online reservation page.
All booking must be confirmed by the payment of a 30% deposit. The deposit is non-refundable. Deposits can be made by credit card or bank transfer. Deposits should be paid within 7 days of the booking being made.
If you need to alter the dates of a booking, we will try our best to accommodate you, but there is no guarantee.
Payment of balance
Payment can be made by credit card through our secure online system or bank transfer. If you choose to do a bank transfer we will call you with our bank details.
The balance is due to be paid 14 weeks prior to the start of your holiday, unless otherwise agreed. Where a booking is made within 14 weeks of the holiday, the total holiday cost becomes due immediately.
Cancellation of your booking by you
If you wish to cancel your holiday we require written notification via an email.
The deposit is non-refundable. We will endeavour to re-let the room and if we do we will refund the deposit to you minus any credit card fees we incur for the transaction.
Our cancellation charges are as follows:
More than 14 weeks from arrival – deposit will be charged along with any credit card fees we incur (IF we manage to re-let all room/s of the booking we will refund the deposit).
Between 1-14 weeks – 100% of the total cost is charged. (IF we manage to re-let all room/s of the booking we will refund the deposit).
Cancellation by us
Every effort will be made to operate all holidays as advertised but the Company reserves the right, at its discretion, to modify or cancel any holiday at any time up to 4 weeks before departure. In the case of any material modification or of cancellation, the Company will, if possible, offer alternative arrangements or, if these are not acceptable, a full refund of the monies paid. This does not include refunds for flights or other expenses separate from the holiday package.
Check-in & Check-out Time
Check-in is normally 3.30pm. On departure day check-out time is 10am unless otherwise arranged.
For those looking to fit that bonus ride in on arrival or departure day, you can avail of an additional service we offer. If you arrive before 3pm and check-out after 10am, we offer an early arrival service and late departure service for a small additional fee of €15 per person.
Our early arrival/late departure service includes extended use of the Lodge facilities; bike garage, changing room/shower room, bag storage, wc and social space & cafe/bar area. Rooms still have to be vacated by 10am, to allow us to turn the house around for the next guests. Out of respect for new guests arriving, unfortunately we cannot offer a late checkout past 3pm. If you need a late checkout after 3pm, then best to book the room for another night.
Alterations to itinerary
Occasions arise when we cannot follow our advertised itineraries and/or cannot maintain our advertised schedules. Our itineraries and schedules are put forward as a statement of intention only, not as representatives or undertakings that they will be carried out. If any additional expenses are incurred through delay, accident or disruption of planned itineraries beyond our control, e.g. war, riots, strikes, Acts of God, force majeure, such expenses will be borne by the client.
Holiday price, taxes and surcharges
We guarantee that the price of your holiday will not be subject to alteration or surcharges once a booking has been confirmed. All prices are fixed in Euros €.
In addition to the price of your holiday 10% TVA is added to your invoice, which we collect on behalf of the French Government.
Also a local tourist/Valley tax is charged by the Municipality to all tourists who stay with us. The charge is €1.15c per person per night. This tax is collected by The Pyrénées Cycling Lodge on behalf of the Commune of Saint Savin.
Holiday Insurance
We strongly advise all customers to protect themselves by taking out a fully comprehensive travel insurance. Under the terms of this booking you are required to have suitable travel insurance giving cover that must include the costs of medical treatment and repatriation in the event of a serious accident or illness. The Pyrénées Cycling Lodge accepts no liability for any loss or injury that may occur during your trip. We strongly advise that helmets should be worn at all times when cycling.
Passports and Visas
As a visitor to France you are required to hold a current passport. Should you be traveling from outside the EU, you should check whether you may also require a visa.
Photography
For marketing purposes we take photos of guests during their stay with us. These photos are shared with the guest and also used on our social media pages and print material, solely for the purpose of advertising the Lodge. We always ask permission to take the photo. Please let us know in writing if you object to us using them for advertising purposes.
Complaints
Should you have a complaint while on holiday, owner of Pyrénées Cycling Lodge at the time, to enable it to be put right immediately. If the matter is not resolved, the complaint should be made in writing within 28 days and addressed to Pyrenees Cycling Lodge.
Pyrenees Cycling Lodge are based in France. Any disputes will be settled under French Laws.
